Head of Operations & Finance (Part Time)

Plug-in Media is a BAFTA winning production studio with a reputation for producing work of the highest quality. Purpose and Aims
Within this newly created role, you will be directly invested in the future of Plug-in Media and eager to play a part in the company’s success.
You will have responsibility for the financial and operational leadership of the company contributing at a senior level to ensure that the company and its work is delivered effectively and efficiently.

Key tasks / main responsibilities:

Financial Leadership

• You will oversee the budgeting and scheduling of all our projects (in development or in production), working closely with our producers, Creative Director and Managing Director to help turn our ambitious, cross-platform ideas into reality.
• You will collate and review all project cost reports (supplied by our producers), checking the operational efficiency of all our work before reporting to the Managing Director.
• You will maintain the company’s cashflow, ensuring that all inflows and outflows have been accounted for and that an accurate snapshot of the company’s finances is available for the Managing Director on a weekly basis.
• You will work with the Office Manager to prepare all financial documentation required for tax relief claims and public funding audits.
• You will prepare management accounts on a quarterly basis, reporting to the directors on profit and loss and the balance sheet.
• You will prepare and submit quarterly VAT returns.
• You will assist the Managing Director in the preparation of sales projections and projected management accounts for the preparation of business plans, both for individual projects and for the company.
• You will work with the office manager to ensure invoices are issued and paid on time.
• You will, on occasions, prepare project budgets, finance plans and cashflows.
• You will prepare end of year journals for our accountants and communicate with them regularly throughout the year.
• You will assist the Managing Director in the preparation of yearly budgets, reforecasting as appropriate.
• You will work closely with the Office Manager to ensure a credit control process is adhered to and to ensure that that our clients are paying and suppliers are being paid on time.

Operational Leadership

• Producers will report to you on all production matters (including but not limited to all costs, time, resource, legal, compliance issues related to each project). You will provide support with any immediate concerns and escalate significant risks and issues.
• You will negotiate with suppliers and freelancers, securing best rates and contracting them to effectively deliver our requirements.
• You will check that all requirements on projects are met and that our projects are closed, delivered the originally agreed specification and a happy client!
• You will work with the Managing Director to effect contract negotiations on significant production deals.
• You will review (and negotiate when required) all external contracts related to our projects, ensuring that our commercial interests are protected.
• You will liaise with the company’s lawyers to ensure our commercial interests are being protected.
• You will ensure best practice principles are implemented and adhered to across all operational processes within the business.

Additional Tasks

• You will be required to oversee payroll and ensure that the correct figures are reported to the Inland Revenue on a monthly basis.
• You will know your way around Xero accounting software and be able to use to run reports as required.
• You will be familiar with timesheet reporting systems and be able to use them to run reports as required.

What sort of person are we looking for?

• Someone with at least 3 years previous experience in a financial director, head of production, head of operations, OR senior production management role, ideally in TV, games or digital sectors.
• Someone with advanced analytical, budgeting and financial skills.
• You must understand the processes involved in the delivery of animation and interactive projects.
• You will have an understanding of production finance for both games and TV production.
• A great communicator, able to work effectively with all members of our team, clients and partners.
• You will have a broad understanding of the different business models at play in today’s digital media landscape.
• Someone who can negotiate effectively and deliver the best deal for the business.
• You will be a confident negotiator, who is not scared by ‘legalese’.

ANIMATIC EDITOR (ANIMATION)

Plug-in Media is a triple-BAFTA winning production studio based in Brighton with a reputation for producing work of the highest quality. We make broadcast animation, as well as games, apps and other interactive experiences for an enviable international client list consisting of the biggest names in entertainment both across the UK and in the USA.

Plug-in Media is looking for an experienced Animatic Editor to work on our 50 x 7 minute episode animated series for CBeebies. The Animatic Editor will work closely with the Director and Assistant Animatic Editor to generate Animatics comprised of storyboard panels, guide audio and sound effects to serve as the blueprint for animation.

Summary of the role:

  • - Compile Animatics using Imported Storyboard Panels and Audio Files
  • - Applying temporary SoundFX and applicable Camera Moves
  • - Updating Sequences through Various Cuts and submitting locked shots to animators
  • - Review rough assembly created by the Assistant Animatic Editor
  • - Ensure that quality issues and clarity issues are adhered to for sound
  • - Aid in keeping production deliveries on target by collaborating with Production Manager and art team to achieve timely delivery of animatics
  • - Ensure and execute director’s vision for the series

Person Specification:

  • - Thorough knowledge of editing software: Premiere
  • - Working knowledge of Photoshop
  • - Ability to work in high-pressure environment under tight deadlines
  • - Previous experience in a production environment on an animated series is necessary
  • - Understanding of 2D concepts and workflows
  • - Ability to organize and manage time effectively to meet deadlines
  • - Proactive thinker with creative problem solving skills

JUNIOR ANIMATIC EDITOR (ANIMATION)

Plug-in Media is a triple-BAFTA winning production studio based in Brighton with a reputation for producing work of the highest quality. We make broadcast animation, as well as games, apps and other interactive experiences for an enviable international client list consisting of the biggest names in entertainment both across the UK and in the USA.

Plug-in Media is looking for an experienced Assistant Animatic Editor. The Assistant Animatic Editor will work closely with the Animatic Editor to cut together 7 minute animatic episodes from storyboard panels, audio and sound effects to serve as an editorial starting point for the Animatic Editor for an exciting, new Children’s broadcast animation series (50 x 7min episodes).

Summary of the role:

  • - Responsible for assisting with importing and generating a rough assembly cut of the episode based on the storyboard and script with emphasis on timing
  • - Ensure the rough assembly is reviewed and approved by the Animatic Editor and Director
  • - Ensure that quality issues and clarity issues are adhered to for sound
  • - Cut revisions into animatics using notes and directions from the Animatic Editor and Director
  • - Create shipping animatic output from locked animatic project for times and partner studios
  • - Ensure production staff are made aware of pickup lines and scratch dialog
  • - Responsible for timely delivery of deliverables and work with production to ensure issues and concerns are elevated as needed

Person Specification:

  • - Working knowledge of Premiere and Photoshop
  • - Ability to work in high-pressure environment under tight deadlines
